Chairnotes is a product of Hive Beauty Collective Designs ("we", "us"). This policy explains what we collect, how we use it, and your rights over your data.
1. What we collect
Account information: the email address and password you create when you sign up.
Payment information: processed entirely by Stripe. We never see your full card number. We receive a confirmation that payment succeeded and a transaction reference.
Your client records: voice notes you record and the structured records Chairnotes builds from them, including any text you write or edit yourself.
Basic technical data: device type, browser, and approximate location (derived from IP), used only to keep the service working and secure.
2. How we use it
We use your data only to provide and improve Chairnotes. Specifically:
To run your account and keep your records available across your devices.
To process your one-time purchase via Stripe.
To respond to support questions you send us by email.
To diagnose bugs and improve the product (using only aggregated, non-identifying patterns where possible).
We do not sell your data. We do not share your client records with anyone. We do not use your client records to train AI models.
3. Where your data is stored
Account data and client records are stored in our cloud database (Supabase). Stripe holds payment data. Both providers operate to industry-standard security practices including encryption at rest and in transit.
4. Who we share data with
The only third parties who process any data on our behalf are:
Stripe for payment processing.
Supabase for hosting account data and records.
Email infrastructure for transactional messages (purchase confirmation, password resets).
We do not share your data with advertisers, data brokers, or any party not strictly required to operate the service.
5. Your clients' data
Chairnotes records describe appointments. When you record formula, timing, or other appointment details, you may also be recording information about the clients you serve. You are the controller of that data. You are responsible for letting your clients know that you keep records, and for handling any client request to review, correct, or delete what you've recorded about them.
6. Your rights
You can:
Access and export all your records at any time from your account.
Edit or delete any record you've created.
Close your account, which deletes your records from active systems within 30 days. Email hello@hivebeautydesign.com to request closure.
Request a copy of the personal data we hold about you, or ask us to correct it.
7. Cookies and analytics
The Chairnotes web app uses only the cookies it needs to keep you signed in. The marketing site at chairnotes.hivebeautydesign.com may use minimal analytics to count visits and understand which pages people read. We do not run advertising cookies or third-party tracking pixels.
8. Children
Chairnotes is a tool for professional hairstylists. It is not intended for anyone under 18.
9. Changes to this policy
If we change anything material, we'll update the "Last updated" date at the top and notify you by email if the change affects your existing records.
This privacy policy is a starting template written by the Chairnotes team. It reflects how Chairnotes actually handles data today, but it has not yet been reviewed by a lawyer. If you have specific legal or compliance requirements, please contact us before relying on this document.
